ASHwell is a nonprofit, sexual health clinic and social wellness center established in Austin, TX in the late 1980s. Clinically, we specialize in HIV treatment and prevention, Hep C treatment and STI treatment and management. Socially, we specialize in providing programming, resources and services to overcome barriers to health access with the goal of building Health Equity in Austin and Central Texas. ASHwell prioritizes providing a safe, welcoming and discrimination-free space for all, predominantly serving LGBTQIA+ and BIPOC communities. Position Overview 

The Associate Director will provide comprehensive oversight for the case management team. They track and monitor the team’s documentation practices to promote a high standard of quality, completeness, and compliance for all data entry and documentation.  

The Associate Director maintains a smaller case load but sets the example for their team. They will cultivate a motivated team that consistently meets goals through regular team meetings with a community building approach and a focus on consistent communication. They act as an advisor and coach to case managers for complex case matters. Their work inspires and supports Case Managers to measurably improve health outcomes through culturally competent and trauma informed case management and resource navigation. The Associate Director will implement mental health and wellness practices across the team to maintain a sustainable working environment. They collaborate with other Associate Directors to ensure smooth workflows between their teams, programs, and clinical services for the maintenance of ASHwell’s integrated care approach. The Associate Director ensures that all case notes and reporting requirements are met - delivering up-to-date and thorough reports to the Assistant Director - as scheduled and in a timely manner. 

 

Core Responsibilities 

Oversight & Management- 50% 

  • Schedule and maintain 1:1 weekly check-ins with up to four direct reports as dictated by organizational practices and standards providing trauma-informed, employee-centered support 

  • Schedule and maintain regular team meetings that focus on alignment, transparency and cross team support and collaboration 

  • Maintain standard for generous appointment times 

  • Monitor case loads and manage capacity for case managers, assuming cases and reassigning as necessary 

  • Implement and maintain a delay of no longer than 48 hours for updated case notes 

  • Develop point of contact relationships with ASHwell’s referring partners and cultivate new relationships 

  • Develop and implement a program design for the case management team that focuses on shared goals, values and community culture  

  • Build and nurture specialties for case managers prioritizing Expansive Gender & Sexuality, Language and Accessibility, or Crisis Support 

  • Track, manage and approve PTO and employee scheduling requests 

  • Research and organize group professional development opportunities for the case management team  

  • Collaborate closely with Associate Director team to ensure cross – programmatic alignment and comprehension  

  • Collaborate with leadership across teams to coordinate integrated care team rounds for comprehensive understanding of needs, challenges and goals for each patient or client served and the staff that serves them  

 

Case Management 20% 

  • Conduct psychosocial and medical assessments to identify client needs, strengths, and goals 

  • Develop individualized care plans focused on medical stability, social stability and mental health and wellness. 

  • Establish care plans with milestones and prepare tokens and/or acts of recognition for stability and improvement throughout care plan 

  • Coordinate and monitor care plans in collaboration with clients and their providers 

  • Conduct outreach and follow-up to engage clients who have fallen out of care or newly diagnosed 

  • Perform on site assessment and registration with ASHwell on Wheels (mobile medical unit) as needed via program partnerships and outreach team 

  • Educate clients on health and resource management, treatment adherence, and their rights within the healthcare system 

  • Use motivational interviewing and evidence-based practices to support behavior change and long-term health engagement 

  • Support health literacy, self-advocacy, and independence among clients 

  • Encourage and track partner-referred clients into ASHwell programming and services where appropriate 

  • Maintain case load of general and specialty focus clients based on program need and referral volume 

  • Act as point for case assignment according to specialty: Expansive Gender & Sexuality, Language and Accessibility, or Crisis Support 

  • Monitor growing influx of ASHwell’s clinic patients into case management and maintain close communication with clinical leadership to ensure a sustainable flow and high quality service 

 

Administrative & Compliance – 20% 

  • Track and manage programmatic budget 

  • Track, monitor and assign as needed to ensure that team goals and contract deliverables are met 

  • Regularly review and monitor case notes to ensure precision, timeliness and completion 

  • Regularly audit case notes to ensure compliance at all times 

  • Log in daily and track notifications, messages and due dates in Apricot dashboard 

  • Maintain accurate, timely, and compliant electronic records per HIPAA, organizational policy, and funding requirements via Apricot, Provide and Athena. 

  • Participate in audits, reporting, and monitoring to ensure service quality to care coordination models (e.g., Ryan White Part B/C/D, medical case management standards). 

  • Deliver required reports to Assistant Director in a timely manner 

  • Maintain updated, verified documentation across work scope 

  • Participate in and prepare for interdisciplinary case round meetings 

  • Ensure that all necessary documents are obtained as required by program policies and procedures at six-month and annual recertification. 

 

Baseline – 10% 

  • Participate in all required staff and leadership meetings and retreats 

  • Maintain up-to-date calendar and work plan 

  • Check in weekly with direct supervisor 

  • Utilize organization wide systems and protocols for all organizational business 

  • Identify and request professional development opportunities related to Social Work and HIV preventative services 

  • Participates in at least one outreach event monthly

Required Qualifications 

  • LMSW or LCSW 

  • 3+ yrs experience in programmatic or serviced based leadership role 

  • 3+ yrs supervisory or management experience 

  • 2+ years of program design, coordination or implementation 

  • 5+ years experience serving historically marginalized communities OR lived experience 

  • 1+ years of budget management experience 

  • Prior experience conducting interviews and assessments with a non biased,anti-stigma and/or Harm Reduction approach 

  • Ability to apply cultural awareness competency and sensitivity 

  • Prior experience with or ability to research available community resources 

  • Strong written and verbal communication skills 

  • Prior experience offering support for processing adjustments to new medical diagnosis and/or chronic disease with patience and empathy 

  •  Strong interpersonal skills for engaging patients and clients, their family members, and broader network of supporters and community 

  • Proficiency in Microsoft Office Suite (Teams, Word, Excel, OneDrive, PowerPoint). 

  • Lives in Austin, TX or within the greater Austin Metro Area or within 50 miles of ASHwell headquarters at 3800 Red River 

  • In depth understanding of gender and sexual orientation spectrums  

  • High comfort level working in a pro-pleasure, pro-sex, pro-kink and pro-queer environment 

  • Baseline understanding of Harm Reduction and need for HIV de-stigmatization  

  • Alignment with ASHwell values of race and gender justice, sexual and reproductive health equity 

 

Preferred Qualifications 

  • 5+ yrs supervisory or management experience 

  • 2+ years experience in a non profit leadership role 

  • Experience with Apricot or Athena 

  • Prior experience working or volunteering in HIV/STI prevention 

  • Experience with crisis intervention 

  • Experience in a sex-positive / sexual health setting / anti-stigma / harm reduction setting
