Job Summary The Office and Administrative Specialist will provide administrative business system support to the Municipal (MUN) and Industrial (IND) Divisions of the Minnesota Pollution Control Agency (MPCA). This position provides E-Services/On-Line Services supporting Cross Media Electronic Reporting Regulation On-Line Services Portal (CROMERR) to multiple agency programs. Support includes triaging external customers by corresponding and troubleshooting via telephone and written electronic response systems. This position also serves, in a limited capacity, to process/distribute mail for 4th and 5th floor, including scanning and emailing to support remote worker, process/scan and manage filing of incoming permit applications, and scanning/archiving documents in support of several agency units. Qualifications Minimum Qualifications Skill in using business English grammar, spelling and punctuation to write, edit and proofread reports, letters, and other documents for accuracy. Basic data entry skills to include accuracy and attention to detail. Ability to operate a scanner, facsimile machine and other office equipment. Skill in customer service to respond effectively to customers who have questions about agency operations and procedures (in person/on the phone). Ability to use Microsoft Word or equivalent software to create, format, edit, print, and save a variety of documents, including memos and correspondence as well as spreadsheets, tables, charts, and graphs. The Minnesota Pollution Control Agency will not sponsor applicants for work visas. Preferred Qualifications Ability to work independently and actively participate as a team member. Ability to manage multiple tasks, set priorities and organize work in order to carry out daily tasks and meet established timelines. Experience using TEMPO, OnBase or other database software. Experience using a scanner, facsimile machine and other office equipment. Ability to research information. Physical Requirements Requires occasionally lifting and/or carrying such articles as file folders, ledgers and small tools. Although a sedentary job is defined as one which involves sitting, a certain amount of walking and standing is often necessary in carrying out job duties.
